How far in advance should I contract a date?

Currently, we are booking until December 2026 for all aspects of Loveless Events. We recommend reaching out as soon as possible for your interested event date.

Can I hold a date?

We do recommend a site visit first to see our space. After that, a proposal will be created for you that will hold the date for 2 weeks. We do require a signed contract and a non-refundable deposit to fully secure the date. If those items are not submitted before that 2 week hold is up, that date will be released. Site visits are not required for our Harpeth Room, Food Truck, or Off Site catering inquiries.

Events in the Barn range from 80 guests to over 800+. Your venue rental includes the main hall, both side porches, the large lawn and our private courtyard. The number of guests we can accommodate depends on event needs such as a stage, space for a dance floor, the menu style and more.

How does the payment process work?

To secure the date in our Barn, we do require a non-refundable venue deposit. Three months before your event, we do require a 50% payment. Your final balance is due at the completion of each event. We accept credit cards and checks for payment. If you are booking within three months, your 50% payment is due upon booking. 

To secure the date in our Harpeth Room, Off Site Catering or Food Truck, the 50% non refundable deposit is due to secure the date regardless of when you are booking.

Your venue rental in our Barn includes 11 hours of contract time with a 5 hour event window. This timing may be adjusted per each event. Our Harpeth Room venue rental includes 4 hours of contract and event time. All events must end by 11 PM. Additional time may be added on for each venue.

Access to our Barn and Harpeth Room is dependent on your contract start time, which is listed on each individual proposal. No vendors may gain access before your agreed upon contract start time. An average contract start time is 1 PM in our Barn.

May we bring our own caterer or alcohol?

All catering services must be provided by Loveless Events. NO outside caterer is allowed. Outside dessert vendors may be approved with a valid COI. Loveless Events is the strict provider of all alcoholic beverages. Absolutely no outside or donated alcohol is allowed on property, in accordance with TN State Law. This includes all areas of the Loveless Property, the Harpeth Room, and the Barn. For more specifics regarding alcohol, please speak with your Sales Manager.

Loveless Events has our own state-of-the-art catering kitchen where our top-notch culinary team prepares a range of menu options for events in the Barn, the Harpeth Room, and Off-Site in the Nashville area. Outside food and beverage are prohibited in our venues.

Can I bring my own alcohol?

The Tennessee Alcoholic and Beverage Commission regulates the sale and service of alcoholic beverages. Loveless Events is responsible for the administration of those regulations while serving alcohol in the Barn or the Harpeth Room, therefore, all alcoholic beverages must be purchased through Loveless Events Catering.

For basic concerts, parties, and events, our in-house power supply is usually sufficient to meet all electrical needs. We can also rent a projector and screen plus any sound or lighting that you might need! Specialized services such as decorative lighting, sound engineers and sound equipment can also be arranged. 

In 2024, we have recently purchased a stage that can be utilized at your event. Below are the stage sizes we are able to accommodate in-house. Please reach out to a sales manager for pricing.

Does Loveless Events have any required vendors?

Loveless Events is the only allowed caterer and alcohol provider on property. Curated Events is our preferred partner for rental needs. Loveless Events contracts exclusively with Southern Sky regarding lighting, draping and audio visual needs.

Does Loveless Events provide event staffing?

Loveless Events will provide an event captain and service staff for all events on property. Licensed bartenders may be added on as well and are charged separately. Loveless Events requires a licensed day of coordinator for all weddings. Loveless Events captains are not responsible for duties of a wedding planner, such as ceremony queuing , setting up florals, lighting candles, etc.

How much parking is available?

Parking for the Barn and the Harpeth Room is ample and free! We have 140 unreserved spaces in our paved lot and overflow parking is available in a nearby gravel lot. Large trucks and buses can also be accommodated. Valet parking can be arranged and is strongly suggested for events with over 300 guests.

The Barn and the Harpeth Room are non-smoking facilities. Smoking is permitted outside the Barn in a paved, well-lit, designated area just outside the front doors, and outside the Harpeth Room on the patio.

Our facility includes all the necessary comforts to make each of your guests feel at home. We have designated ADA parking spaces and restrooms and since the Barn is all one level, all mobility devices can move about easily. The Harpeth Room and the first level of its outdoor patio is also accessible.

What paperwork do you need from non-profits?

Any non-profit organization that is charging admission to a fundraising event in the Barn must qualify as a not-for-profit, tax-exempt organization under Section 501(c)3 or other sections of the Internal Revenue Code. A copy of the Internal Revenue determination letter must be provided to the Barn prior to executing the contract. The sponsoring organization MUST be named on the contract as well as on all promotions for the event, and representatives from the organization must be involved in the event planning.

Any other rules I should be aware of?

Loveless Events does not allow confetti, glitter, or helium balloons in our Barn or Harpeth Room. Real candles must be approved with your sales manager and may require additional fire marshal permits. Outside alcohol is not permitted in any circumstance. Loveless Events does not allow four legged friends inside our venues, but may be allowed outside for ceremonies. Please reach out to your sales manager for any specific questions.
